A tour of Codex
Codex is the money side of your portal. Open the Overview from Codex in the admin nav; the Codex entry route redirects there. The ten sections are Overview, Brief, Bank, Spending, Income, Cash flow, Profit & loss, Taxes, Jobs, and Board.
A shared date-range bar sits on the Overview, the Bank transaction lists, Spending, Income, Cash flow, and Profit & loss. Pick a preset or your own dates for the dated income/spending measures. Current-state indicators such as Outstanding and To review still describe what needs attention now, not only records created in that date range.
Overview
The Overview at /admin/codex/overview brings the current money picture together. Five cards up top:
- Net: money collected minus business spending, for the range you picked, with your margin percent and how it compares to the prior period.
- Collected: recorded platform payments net of refunds, plus bank deposits categorized as income, with the trend against the prior period.
- Spent: business spending for the range, counted the same way as the Profit & loss, with its own trend.
- Outstanding: what's still owed to you right now, across every job, with a callout for how much of that is overdue.
- To review: how many bank items are waiting to be sorted, with a "sort them now" link straight to the review queue.
Under the cards, a jobs strip gives you the day's job picture at a glance: how many jobs are open, which are done but not fully billed, and the job with the thinnest margin.
Two sibling tabs carry the rest of the daily picture:
- The Brief tab at /admin/codex/brief greets you by name and holds the day's to-dos: the morning briefing (when turned on in Settings, then Codex) writes a short plain-English readout of the day's findings, and insight cards flag what deserves a look: money past due, jobs over budget or losing money, thin margins, charges that look like doubles, recurring charges, deposits to check, and your most profitable client. Each card links to the place where you can act on it. The greeting on your admin dashboard opens this tab.
- The Taxes tab keeps the running set-aside estimate for the year, based on your real net and the rates you set in Settings, then Codex, along with your state's rate detail and the usual federal quarterly due dates. It is a guesstimate based on your state and federal taxes and nothing else, not the amount you actually owe; confirm the real number with a tax professional.
If you have an old bookmark to /admin/codex/insights, it still works and lands on the Overview.
Bank
The Bank section is the feed itself: transactions from your connected accounts, the To review queue, connected banks, rules, categories, and Receipts at /admin/codex/receipts. It also holds Sort everything, the wizard at /admin/codex/sort, which reviews a backlog in bounded batches.

One address note: the old Activity page moved into Bank. A bookmark to /admin/codex/activity now opens the Bank transaction list.
Spending
Spending shows recorded deductible business costs for the range: categorized job costs and overhead, plus reconciled hand-recorded costs. This follows the P&L expense definition, not every outflow from a bank account. Three parts:
- By category: a donut of where the money went, with each category's total, count, and share next to it. Every category maps to its IRS Schedule C line on the Profit & loss. The slices aren't links, because one slice can mix job charges, overhead, and hand-recorded costs, and there is no single list behind it to jump to. Owner pay and draw and other non-deductible money sits on its own labeled rows below the donut, excluded from the total, so this section always matches the Profit & loss and the Overview.
- Recurring: vendors that bill you on a rhythm, detected from about the last seven months of your feed, with their cadence and what they add up to per month. Vendors you haven't sorted yet are marked "needs sorting". Pick a category and click Make a rule for later matching charges; automatic application depends on the saved-rule setting.
- Top vendors: who took the most in the range.
Income
/admin/codex/income combines recorded platform payments net of refunds with bank deposits you marked as income, charted by month. The deposit list underneath shows only the bank portion. This income definition is shared with Cash flow and P&L; use the same date range when comparing them.
A Stripe payout into your bank is not new income if its customer payments are already recorded in the portal. Mark that bank movement as Transfer, not Income. The same applies to a cash/check payment already recorded through Record a payment. The reports add income-classified deposits to recorded payments; they do not automatically match away every duplicate.
Cash flow
/admin/codex/cashflow shows recorded income and posted bank outflows month by month. Unlike P&L, its outflows include personal and unsorted debits, but exclude transactions marked Transfer. Cash flow and P&L can therefore have different spending and net figures. Manually recorded costs without a bank debit are not extra bank outflows.
Profit & loss
/admin/codex/pnl is a report to review with your accountant: recorded income by client and categorized deductible expenses for a date range, with Schedule C reference labels. The Download tax summary button exports a workbook. Its accuracy depends on complete records and correct classifications; it is not a tax return.

Jobs
/admin/codex/jobs lists every job's money on one line: contract value, invoiced, collected, outstanding, cost, margin in dollars and percent, and billable hours. Filter to open or completed jobs, narrow to one client, or search by name. Click a job to open its full money detail.
The three cards above the table total up the jobs you're looking at: open count, collected, and outstanding.
Board
/admin/codex/board is the drag-and-drop workspace for job costs. Unassigned bank charges sit on one side, your jobs grouped by client on the other. Drag a charge onto a job and it counts as that job's cost, with the margin updating as you drop. Charges can also be marked overhead or personal right from their card.
P&L/job costs depend on categorized charges and recorded costs. Cash flow also shows unsorted posted debits. Missing payments, unmatched costs, duplicate income classifications, or unavailable financial data can affect the picture. Review warnings and sort the backlog with the Sort Wizard; an unavailable report is not a zero balance.
