Finding documents

Contracts live on each client's record, but when you just need to find one document fast, you don't want to click through clients one at a time. The Documents finder is a single searchable list of every contract that has gone through the system, across all your clients, whether it was signed in-house or through DocuSign.

Where it is

Open Documents from the admin navigation or search. The list is scoped to your organization. The heading count reflects the records loaded for the current filters; use narrower filters when you reach the row cap.

What it lists

Every contract in your org, newest first. That includes agreements, change orders, and quotes, in any state, from drafts that were never sent to fully signed copies. Each row shows:

  • Document: the title, which links to that record's detail page at /admin/contracts/<id>.
  • Type: Agreement, Change Order, or Quote.
  • Client: the client the contract belongs to.
  • Source: DocuSign or In-house, depending on how it was signed.
  • Status: Signed, Sent, Viewed, Voided, Declined, Expired, or Draft.
  • Date: the signed date if it's signed, otherwise the sent date, otherwise the date it was created.
  • Signed PDF: a Download link when a PDF exists for that document.

The filters

Above the list there are four dropdowns. Set any combination and click Filter. Click Clear to reset everything.

  • Source: All sources, DocuSign, or In-house. Narrows to documents signed through your DocuSign account versus the built-in flow.
  • Client: All clients, or pick one client by name to see only their documents.
  • Type: All types, Agreement, Change Order, or Quote.
  • Status: All statuses, Signed, Sent, Viewed, Voided, Declined, Expired, or Draft.

Keyword search

The Search box at the top matches the document title or the client name. It's not case sensitive, so "acme" finds Acme Co. You can combine search with the dropdowns. For example, search "deck" with Status set to Signed to find every signed contract with "deck" in the title.

Downloading the signed PDF

When a document has a signed PDF on file, its row has a Download link in the last column that opens the PDF in a new tab. Documents without a PDF yet, like a draft that was never signed, show a dash instead.

A missing PDF can also mean generation or provider synchronization has not completed. Open the contract detail page to check its status. Signing evidence and a downloadable artifact are separate; neither is a guarantee of legal enforceability.

Row cap

The finder shows up to 500 documents at a time. If you have more than that, use the filters and search to narrow down to what you're looking for rather than scrolling. In practice the source, client, type, and status filters together get you to a single document quickly.

Documents vs Contracts

For summaries rather than individual files, open Contract analytics. It uses the newest 1,000 organization contracts for status/type counts, template usage, recent send/sign trends, and time-to-sign where the required timestamps exist. It is not a payment ledger. Monetary charts currently use USD formatting; they do not convert mixed-currency contracts into a common currency.

The Contracts section is where you create, send, and manage contracts, including the DocuSign tools. The Documents finder is read-only by design. It's for locating and downloading something that already exists. When you need to act on a contract, open it from the finder and you land on its detail page in Contracts.

Looking for one client's paperwork? Their page has a Contracts tab with every quote and contract for that client, newest first, with status, totals, and an Open link into the contract page. Each row also has Add to calendar for scheduling a follow-up. The Documents finder is for searching across all clients at once.
